Who we are
[LEGAL BUSINESS NAME], trading as FoodOnTheLine, [ADDRESS]. Contact: carl.worrall42@gmail.com. [ICO registration number, if registered]
Two kinds of people, two situations
1. Visitors to this website and restaurant owners (our customers). For you, we are the "controller" of your information.
2. Callers who phone a restaurant that uses our line. For these callers, the restaurant decides why the call is handled and we process the data on its behalf (we are the "processor"). The restaurant should tell its callers about this.
What we collect
- Website demo form: your business name and phone number.
- Restaurant customers: contact details, menu and business information needed to set up and run the line, and billing details.
- Callers (on behalf of the restaurant): phone number, name if given, what they ordered, any allergy or special requests, delivery address for delivery orders, and the call itself. [State whether calls are recorded and for how long, or that they are not.]
Why we use it, and our legal basis
- To respond to your demo request and set up your service (steps you ask us to take before a contract, and performance of a contract).
- To take, pass on and record orders for the restaurant (on the restaurant's instructions).
- To keep the service secure and fix faults (our legitimate interest).
- To meet legal and accounting duties.
We don't sell personal data.
Who we share it with
Only providers who help us run the service, such as telephony, hosting, speech and email services. [List your actual providers, e.g. Twilio, Render, Resend, ElevenLabs or replacements.] Some may process data outside the UK, in which case we rely on appropriate safeguards.
How long we keep it
[Set periods, for example: demo requests X months; order records X months; call data X days.] We delete or anonymise data when it's no longer needed.
Security
We use access controls and encrypted connections, and only share data with providers who need it. No system is perfectly secure, and we'll tell affected people and the ICO where the law requires.
Your rights
You can ask to see, correct, delete or export your data, to object to or restrict how we use it, and to complain to the Information Commissioner's Office (ico.org.uk). Email us to make a request. If you are a caller, we may need to pass your request to the restaurant.
